Bulk Document Scanner

An overview of digitization equipment in the Freedman Center with step-by-step instructions.

Starting Software

DocAction software on workstation computer

 

From the Start menu or the icon on the desktop, launch DocAction.

Basic Configurations

There are 2 modes to work with:

  • PDF Utility: scans bulk documents into a single PDF document; most people use this mode
  • Scan Utility: saves individual image files for each page scanned

PDF Utility 

The default settings for PDF Utility are a single-sided 300 DPI Grayscale PDF with internal JPG compression of 75%. Below are the steps to choose this setting:

  1. Within the DocAction Button Configuration window, click the [2] on the left for the PDF Button settings.
  2. Next to Saving Folder, click the 3 dots [...] and select your Documents folder, submitting with OK.
  3. On the bottom right, click Apply.

Now that the Software has been configured, you need to select your configuration on the scanner itself. Change the scanner's mode to 2

Scan Utility

Below are the steps to choose this setting:

  1. Within the DocAction Button Configuration window, click the [1] on the left for the Scan Button settings.
  2. Under Application, click the Save Setup... button. A new window will open.
  3. In the Scan Setup window and directly next to Saving Folder, click the 3 dots [...] and select your Documents folder, then click OK.
  4. Back in the Scan Setup window, click OK.
  5. On the bottom right of the Button Configuration window, click Apply. All the scans will go to your Documents folder.

Now that the Software has been configured, you need to select your configuration on the scanner itself. Change the scanner's mode to 1

Additional Configurations

Below are additional changes you can make to the scanner settings.

PDF Utility

Adjusting Compression: To adjust the compression level, click the Configure button in the File Format box. You can adjust the compression level for both the Color and Grayscale modes. These settings are set separately for each mode.

Other configurations options include: 

  • Continuous Scan: checking this box causes the scanner to prompt for more pages when it runs out of documents
  • Resolution: can be set from 100 DPI to 600 DPI
  • Scan Mode: can be set to Color, Grayscale, or Black & White
  • Scan Type: can be Front Sides, Read Sides, or Duplex (both sides)

Scan Utility

The File Format section contains three dropdown menus for Color, Grayscale and B/W (Black & White) scanning modes. Even though PDF is an available option within these dropdowns, you cannot choose PDF. If you want to scan a PDF, follow the instructions for PDF Utility.

We suggest selecting PNG or TIFF - Uncompressed when scanning. These file formats are uncompressed and of higher quality. Selecting JPG or TIFF - Compressed will reduce the file size but also reduce their quality. The compression levels can be changed by clicking the Configure button.
