Ideal materials to scan and how to scan them.

Request a Freedman Center USB key from the Service Center Desk, and staff will check out the key to your account if available. 

Available for checkout to CWRU, CIA & CIM students, faculty, and staff; CWRU Alumni, Public or Visiting patrons must complete the "Public Patron Use Form" before receiving equipment key. 

Creating a New Computer File Folder

BE AWARE: Upon restarting the computer or removing the USB key, the computer will completely wipe the machine and its file contents. Any scans, documents or the like that are not saved in a file folder within "D: No Secure Temporary Storage drive" will be deleted. Create a file folder within this D: drive to temporarily store your work. Temporary storage will hold onto these documents for 1 week and will erase after every week. Remove your items before then.

PLEASE NOTE: With each computer station, users will have to create separate file folders since the computer drives are not interconnected.

1. Within the Start bar or on the computer's task bar, search for "File Explorer:" 

2. Under "Computer," find 'D: Temporary Storage' and click that storage container. The drive's contents will appear. 

3. Within the "D: Not Secure Temporary Storage" drive, select "New Folder" along the top the top of the screen. 

4. Name the folder your network ID (ex: abc123) and hit the "Enter" key.

***Please note: With each computer station, users will have to create separate file folders since the computer drives are not interconnected.

Opening Program

1. Insert the key into the USB port on the left side of the monitor. Computer will open automatically to the Freedman Center main page. Minimize for future use.
 

2. On the desktop, find the “Epson Scan” icon and open: 

***This will take a few moments to load. If it seems to get stuck or not respond, please be patient, the scanner is loading!

3. Flatbed Scanning Home Screens will look like the following:

           

Selection Window

When you open up the software, this dashed box or marquee is your viewfinder! Whatever is scanned within this viewfinder will be captured.

  • You can manipulate the window;

    • Stretching and increasing/decreasing its length or width.

    • Proportionally changing the window’s size by pulling a corner.

    • Grabbing the entire window and moving to a preferred section of image. 

      • At a high resolution, grabbing the entire selection window will crash the software. 

  • Erase previous selections by clicking the Erase button.

We do not advise users to create multiple selections within a single scan. Best practice is to scan one selection/ image at a time. 

Scanning Material


1. Locate the scan settings portal. This section is dedicated to changing the document type, image type, resolution and to initiate a scan preview. 

From top to bottom of this section, change the information:

a. "Settings": Keep "Current Setting" selected.

b. Original:

1. "Document Type": Switch between paper items and film/ transparent items to get the best scanning results for your material. Select 'Film' if using for transparency purposes.

2. "Document Source": Keep "Document Table" selected. 

3. "Auto Exposure Type": Switch between Photo or Document depending your material.

c. Destination

1. "Image Type": Choose between Black & White, Grayscale, Color, and other images techniques like Halftone & Color Smoothing.

***For most purposes, users will choose 24-bit color or 8-bit grayscale. 48-bit color and 16-bit grayscale will make many features of photoshop disappear and also many file formats.

2. "Resolution": Clarity and sharpness of image. The higher the resolution setting, the longer and larger the scan will be. Maximum 800 DPI for documents or illustrations between 1,200 to 2,400 DPI. Setting the resolution any higher will not get you additional data.

***WARNING: If users scan at any higher resolution, the software may crash.

3. "Document Size": Adjusting the marquee tool will change this size throughout the scanning process.

d. "Adjustments": These have been disabled on our Epson scanners.

2. Before any scanning occurs, pre-scan your images in the preview portal.

3. Using the on-screen buttons found on the bottom of the Scan Settings portal, click "Preview."

4. With this preview, adjust the selection window to the material.

***Since scanning times increase with higher resolution, users should decrease the amount of negative space the scanner captures so that they are not wasting their time.

5. The "Preview Mode" offers the option of zoom as well. Adjust the selection window to area you'd like to zoom into and select the tab "Zoom." The scanner will take a few moments to zoom into that selected area.

          

6.  When ready to scan, click the "Scan" button. The "File Save Settings" pop-up will appear. 

From top to bottom of this section, change the information: 

a. "Location": Toggle "Other" and click "Browse." Locate your network ID file folder in the "Not Secure Temporary Storage" D:drive from the "Browser for Folder" pop-up.

 

b. "File Name": Change the name of the file here.

 

c. "Image Format": Choose the image file type for your needs. We recommend keeping the default TIFF file type.

 

7. Once all of the areas of "File Save Settings" window are changed, click "OK." The scanner will begin scanning, and the scans will deposit in your file folder automatically upon scan completion.

***The higher the scanning resolution, the longer the scan will be. A 800 DPI, scanning will be 4-6 minutes. Between 1,200 and 2,400 DPI, the scanning time will be upwards of + 8 minutes. Setting the resolution any higher will not get you additional data.

8. Please return the White Background to the Flatbed scanner if the Transparency guide was used.

Troubleshooting

12,800 DPI Setting will not Scan

12,800 DPI is the highest resolution on the scanning software, not the best available to users. 

For documents, select 800 DPI. Any higher DPI setting will be overkill. For illustrations, select between 1,200 and 2,400 DPI. Setting the resolution any higher will not get you additional data.

Moving Files & Closing Program

Before you restart the computer, ensure your images are in your network ID folder found within the "Not Secure Temporary Storage D:" drive.

Remember to retrieve your files before the weekly wipe.
